Position Summary

The University of North Carolina at Greensboro is a public, coeducational, doctoral-granting, residential university chartered in 1891. It is one of the three original institutions of The University of North Carolina System.

The Department of Human Resources is seeking qualified individuals for temporary Administrative Support Specialist positions that MAY become available on campus. When a UNCG Department is in need of a temporary Administrative Support Specialist, qualified applicants who have applied to this temporary pool will be considered.

Duties and responsibilities could include, but are not limited to the following:

  • Banner Processing
  • Office Management
  • Departmental HR functions
  • Assisting with/or Managing Departmental Budget
  • Providing professional support and customer service to clients, students, Faculty and/or Staff
  • Assisting with clerical and administrative duties
  • Processing travel arrangements and reimbursements
  • Composing written materials; including memos, emails, agendas or minutes from meetings
  • Other duties assigned by Supervisor
Minimum Qualifications

HIGH SCHOOL DIPLOMA OR EQUIVALENCY AND ONE YEAR OF RELATED OFFICE EXPERIENCE; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE.

Preferred Qualifications
  • Associates Degree or higher
  • At least two (2) to three (3) years of administrative/office experience at a higher learning institution.
Alternate Option

If no applicants apply who meet the required competency level and training & experience requirements, than management may consider other applicants. Salary would be determined based on competencies, equity, budget and market considerations.

Advanced – Program knowledge includes acceptable interpretations, applications, and allowable exceptions of written policies and procedures Requires knowledge of organizational structure, functions, and services, programs, office procedures and practices.

Information/Records Administration
Contributing – Uses established filing and data systems, functions, and/or procedures that require knowledge of the program. Reviews data and information for completeness and accuracy using standard guidelines; performs tasks with attention to detail. Understands software used to perform day-to-day functions.
Journey – Coordinates varied records processing activities requiring the application and some interpretation of agency procedures, policies, laws, and regulations. Reviews information for completeness and accuracy using multiple guidelines.

Contributing – Communicates information clearly to staff, clients, and/or public about services, processes, and procedures using prescribed or established guidelines. Gathers readily available information from office records to drafts, e-mails, memos and other documents. Proofreads documents for grammar, spelling, punctuation, and basic formatting. Journey – Presents ideas in a clear, concise, organized manner. Explains and interprets programs, policies and procedures to meet the specific needs of staff and clients. Advises program staff/clients in all matters related to program operations. Composes and organizes ideas logically, works in multiple formats such as letters, memos, reports or presentations, and can change/adjust style to meet the needs of the program and audience. Reviews sensitive materials and edits content constructively.
Advanced – Interprets guidelines, answers inquiries and advises others regarding processes, services, and operations as applied to non-standard situations. Communicates expectations to other employees, which may include formal/informal training. Independently compiles, analyzes, assimilates, and composes information into varied or non-standard formats with responsibility for content review, accuracy, quality, and timelines, requiring in-depth program knowledge and interpretation.

Budgeting
Contributing – Acquire and apply knowledge of policies, procedures, and campus resources in order to complete budget forms. Monitors and reconciles departmental or program budget and tracks travel and office expenditures.
Journey – Exercises responsibility for administering the budget, which includes making recommendations regarding the use and distribution of funds within the department.
Advanced – Serves as resource for co-workers on budget policies, procedures, and resources. May act as lead person within assigned area of responsibility
