Position Summary

The Dean’s Office for the College of Arts & Sciences is currently seeking qualified candidates to consider for an Executive Assistant position.

This position serves as the assistant for one of three Associate Deans of the College of Arts & Sciences and is responsible for assisting the Associate Dean in the completion of her assigned duties. In addition to maintaining the Associate Dean’s calendar and generating correspondence on her behalf, this position provides assistance to the Multi-Literacy Centers particularly in the areas of student employment and payroll. The position also provides database support for the Sedona System, serves as the primary purchasing authority for the Dean’s Office, serves as back-up receptionist and assists with developing content for social media outlets and the College’s website. Since the Associate Dean’s responsibilities may vary based on initiatives at the unit and university level, the position’s assignments may vary as well.

Minimum Qualifications

HIGH SCHOOL DIPLOMA OR EQUIVALENCY AND THREE YEARS OF PROGRESSIVELY RESPONSIBLE ADMINISTRATIVE/OFFICE MANAGEMENT EXPERIENCE; OR GRADUATION OR ASSOCIATE’S DEGREE IN SECRETARIAL SCIENCE, BUSINESS ADMINISTRATION, OR A RELATED DISCIPLINE AND ONE YEAR OF PROGRESSIVELY RESPONSIBLE ADMINISTRATIVE/OFFICE MANAGEMENT EXPERIENCE; OR BACHELOR’S DEGREE, PREFERABLY IN BUSINESS ADMINISTRATION OR A RELATED DISCIPLINE; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Preferred Qualifications
  • Four (4) year college degree;
  • Strong communication skills, including articulateness and responsiveness to questions from faculty, staff, students, and the public;
  • Strong organizational & writing skills;
    *Payroll experience;
  • Ability to efficiently and accurately multitask and to promptly follow-up on unresolved issues;
    detail oriented;
  • Self motivated, ability to work independently;
  • A high degree of competency in desktop computing (including Microsoft Word and Excel);
    *Previous experience in university setting

Demonstrates an awareness of the programs, operational structure, and administrator’s scope of responsibilities. Work requires an awareness of specific functions and staff assignments within the organization. Demonstrates working knowledge of policies, procedures, and processes required within the organization. Demonstrates familiarity with rules, regulations, and laws affecting organization.
